01

Who we are

Promonials is operated by William D. Parsons, an individual based in California, United States. Promonials is a Parsons Group project. In this policy, “Promonials,” “we,” “us,” and “our” refer to that operation.

This policy covers Promonials.com, our hosted testimonial widgets, inquiries, client administration, and information handled while arranging, recording, preparing, and hosting customer interviews, authorized written-review graphics, and AI-assisted review preparation where offered. It applies to prospective clients, clients, interview participants, reviewers, and people who visit our website or load our widgets.

02

Information we collect

Information you or a client provide

We collect the contact and business details you provide, such as your name, business name, email address, telephone number, website, and messages. Client administration records may include onboarding dates, amounts paid, renewal dates, service status, and the widgets and content associated with a client.

For interviews and testimonials, we may receive scheduling and contact details, recordings of your voice, interview answers, transcripts, written reviews, photographs you authorize, editing notes, and records of permission. A client may provide your contact details to arrange an interview. We use those details to contact you about participation and obtain the necessary permissions.

Technical information

When you visit the website, load a widget, or request an audio or image file, our hosting and delivery providers may process your IP address, browser and device information, request time, requested resource, referring page when supplied by your browser, and security or error information. Authorized staff sign-in also involves account identity and session information.

Please avoid including sensitive personal details that are unnecessary for an inquiry or testimonial. Your private contact details are not intended to appear in a published widget.

03

How we use information

We use information to respond to inquiries; arrange and conduct interviews; obtain and document permission; edit and transcribe recordings; create and host testimonials; manage clients, subscriptions, renewals, and payment references; provide support; and maintain the reliability and security of the service. We also use necessary records to comply with legal requirements, resolve disputes, and protect our rights and the rights of others.

We may promote Promonials through newsletters, sales follow-ups, advertising, and examples of our work, subject to applicable consent requirements and the choices described below. Public use of someone’s testimonial, voice, or photograph depends on the permission obtained for that use.

04

Interviews, reviews & public content

Participating in an interview is voluntary. Before recording and publication, we obtain the applicable authorization through our interview and permission process. This policy explains our practices; it does not itself grant permission to record or publish your voice, photograph, or review.

Our intended public identification is your first name and, if you choose, a photograph. We seek separate authorization before using additional identifying details. Your voice and the experiences you describe may still make you recognizable. Review graphics and transcripts should reflect the identification you authorize.

A client’s selection or approval of a Google review is separate from the review author’s permission to republish it. Authorized reviews may be converted into stored graphics. The finished widget displays those graphics rather than requiring a live Google review connection.

With the appropriate permission, finished material may appear on a client’s website, in our publicly accessible hosted players, or in Promonials promotional materials. Public material may be viewed, heard, copied, downloaded, or indexed by others. Private contact and client administration details are not part of the public testimonial.

You can request removal or withdraw consent by emailing team@parsonsgroup.com. We will review the request, explain any applicable restrictions, and take reasonable steps to stop future public hosting or use under our control, subject to applicable law. Removal from a player does not by itself erase an already shared media URL or downloaded copy; those resources may require separate action. We cannot guarantee the removal of independent third-party copies, search caches, or material beyond our control.

Review Helper & AI assistance

The sample on Promonials.com

The homepage displays fictional notes and an editable sample review. Editing or copying this sample happens in your browser. It does not submit your text to an AI provider, save your draft in our application database, or post anything to Google. General website request and security information may still be processed as described above.

When you use an AI-enabled helper

Where an AI-enabled helper is offered, requesting a draft sends the comments you submit, your selected topics, and necessary business context through our server to OpenAI to prepare the response. We use this information to organize and polish your own account of your experience. Please do not include private financial, medical, identification, or other unnecessary sensitive details.

The current pilot does not save the submitted comments or generated drafts in its application database. It may keep limited request and rate-limit information for security. Disabling application-response storage at the AI provider does not eliminate provider security or abuse-monitoring retention. OpenAI’s API data controls documentation describes its handling and retention of API data. The helper will explain any different retention or client access arrangements before collecting your comments.

Your website, Promonials, and Google

A helper embedded on a client website involves both that business’s website and the Promonials service. The client’s privacy notice covers its separate collection and tracking. Creating or copying a draft does not publish a review, email it to the business, or grant permission to reuse it as a testimonial. You review and edit the words yourself, then choose whether to open Google, paste the text, select a rating, and publish using your own account. Google’s terms and privacy practices apply to those steps.

Client website integration remains in development. This notice will be updated before a rollout changes the information collected, retained, or made available to a client.

06

Service providers & sharing

We share information as needed with providers that help deliver the service, including hosting and storage providers, email providers, recording services, authorized interviewers and editors, transcription services, and third-party payment processors. Interviewers and production providers receive information relevant to their work. Where automated transcription or editing tools are used, the relevant interview material may be processed by those providers; any consent required for that processing is addressed before use.

Current website infrastructure includes Cloudflare for hosting, data storage, and media delivery; Resend for inquiry email delivery; OpenAI/ChatGPT for the site platform, managed staff authentication, and AI-enabled review assistance where offered; and Google Fonts for website typography. Each provider’s handling of information is also subject to its own role, terms, and privacy practices.

We provide authorized testimonial material to the business featured in the interview for the uses covered by the authorization. We may also disclose information when legally required, to address fraud or security issues, or in connection with a business transfer, subject to applicable protections and notice requirements. We do not currently sell personal information or share it with advertising networks for cross-context behavioral advertising.

07

Payments

Electronic payments are handled through third-party payment providers. Promonials does not store credit-card numbers or card security codes. We may retain transaction references, amounts, dates, service status, and other administrative records needed to manage the client relationship. The payment provider’s own notice explains its collection and handling of payment information.

08

Cookies, tracking & widgets

As of this policy’s effective date, the website does not include Promonials-configured Google Analytics, Meta advertising pixels, or similar advertising-tracking integrations. Hosting, security, and staff sign-in services may use cookies or comparable technical mechanisms needed to deliver and protect the service. Google Fonts requests send technical connection information, including an IP address, to Google to retrieve the fonts.

We do not currently change the website’s behavior in response to a browser’s legacy “Do Not Track” setting. No cross-context advertising sale or sharing is currently configured for us to opt out of through Global Privacy Control. If we introduce optional analytics or advertising technologies, we will update the relevant disclosures and provide consent or opt-out controls as required before using them.

A Promonials widget embedded on another business’s website connects your browser to our hosting or media providers. The business’s surrounding website may separately use its own cookies, analytics, or advertising services. Its privacy policy governs those separate practices. Third-party links and externally hosted media may also connect you to providers with their own notices.

09

Marketing choices

We may respond to your inquiry and send communications needed to provide requested services. Where required, we obtain consent before sending newsletters or other promotional messages. You can ask us to stop promotional emails by using an unsubscribe option in the message or emailing team@parsonsgroup.com. Necessary service, security, or transaction communications may continue.

An inquiry does not, by itself, authorize publication of your words, voice, or photograph, or promotional uses that require separate consent. Permission to feature an interview on a client’s website is not treated as unlimited permission for unrelated uses.

10

Retention & security

Retention depends on the purpose and nature of the record rather than a single period for all information. We retain inquiry and client records as reasonably needed to respond, administer services, and meet recordkeeping obligations. Raw recordings, working files, and transcripts are kept as needed for production, corrections, and related support. Finished content may be retained while hosting or authorized use continues. Permission records and limited transaction or dispute records may need to be retained after public hosting ends.

We review information for deletion or de-identification when it is no longer reasonably required, subject to legal obligations, legitimate recordkeeping needs, and backup cycles. A public removal request and deletion of all underlying private records are separate matters; we will explain any information we need to retain.

We use reasonable administrative, technical, and organizational measures appropriate to the information, including restricting staff access. No internet transmission or storage system can be guaranteed completely secure. Please contact us if you believe information has been exposed or misused.

11

Your privacy choices & requests

Email team@parsonsgroup.com to ask about information we hold about you, request access or correction, request deletion or removal of public content, withdraw consent, or raise a privacy concern. Depending on your location and the law that applies, you may also have rights to obtain a copy of information, limit certain uses, or exercise other privacy choices.

Tell us how to contact you and enough about the inquiry, client, interview, or review to locate the relevant record. We may reasonably verify your identity or authority before disclosing, changing, or deleting information. We will respond within the time required by applicable law and explain applicable limits or reasons we cannot fully fulfill a request. We will not retaliate against you for making a privacy request.

12

United States & Canada

Promonials provides English-language services to adults in the United States and Canada. Information may be processed or stored in the United States and other countries where our service providers operate. Those countries may have different privacy protections, and information may be accessible to authorities under their laws.

For Canadian participants and clients, consent may be withdrawn subject to applicable legal or contractual limits and reasonable notice. We will explain the implications for an interview or service. You may also contact the Office of the Privacy Commissioner of Canada or the appropriate provincial privacy authority about a concern. California and other United States residents may have additional rights where the relevant state privacy law applies. This policy does not limit rights provided by applicable law.

13

Adults only

Our services and interview participation are intended for adults age 18 and older. We do not knowingly seek personal information or testimonials from anyone under 18. If you believe a minor’s information has been submitted, please contact us so we can investigate and take appropriate action.

14

Changes to this policy

We may update this policy as our services, providers, or legal obligations change. We will post the revised policy here and update the “Last updated” date. For material changes, we will provide a prominent website notice, direct notification where appropriate, or another notice required by law. Where a new use requires consent, we will seek that consent rather than treating a policy update alone as permission.
